Human Resources Coordinator

The Jewish Museum is looking for a bright, energetic go-getter to join its Human Resources team.  The person filling this role will gain experience in a broad range of HR functions, with a focus on compensation, benefits, and talent recruitment.  This position is fast-paced, and requires an ability to multitask, impeccable attention to detail, strong interpersonal skills, and excellent communication skills. In addition, we are looking for someone flexible, who can adjust to changing priorities with humor and positivity. The Human Resources Coordinator will have access to confidential information so good judgment and trustworthiness are critical to this role.

FLSA Status: Non-Exempt
Schedule: Full-Time; 35 hours/5 days a week

Responsibilities:

  • Process new hires, transfers, and terminations using ADP’s Workforce Now system. Perform data entry in the ADP system on an ongoing basis
  • Assist with staff and intern recruitment, including managing job postings, strategic outreach, vetting candidates and conducting new-hire orientations
  • Assist the Senior HR Manager with benefits administration, including processing enrollments and terminations, 403b data entry, monthly invoice reconciliations, coordinating open enrollment periods, and assisting staff with benefits-related questions
  • Assist with hiring, onboarding and termination procedures, including drafting correspondence, liaising with managers, and managing all related-paperwork and data entry
  • Support the Museum’s ambitious DEAI efforts by researching and coordinating DEAI-focused initiatives and training seminars; assist the HR Director with meeting various goals outlined in the DEAI Action Plan
  • Assist with managing the departmental budget by monitoring spending, reconciling monthly credit card statements and processing all incoming invoices
  • Coordinate staff events such as all-staff meetings, monthly lunch & learn seminars, training sessions and the annual staff holiday party
  • Organize regular wellness programing for the Museum staff
  • Serve as a resource for general HR matters regarding payroll, benefits, and Museum policies
  • Maintain the Museum’s computerized and hard-copy personnel and payroll files
  • Perform clerical functions such as: overseeing the purchase of office supplies, updating HR driven materials (such as phone directories, org charts, and emergency contact lists), and providing administrative support to the human resources team
  • Serve as the backup to the Administration Division Coordinator for mailroom-related duties

Requirements:

  • 2-3 years progressive Human Resources experience
  • An interest in pursuing a career in human resources is a must.
  • Working knowledge of ADP Workforce Now or similar ADP payroll and attendance tracking products preferred
  • Self-motivated individual with ability to prioritize and multitask. Must be well-organized, detail-oriented and have excellent follow-through skills
  • Ability to maintain a high degree of confidentiality
  • Flexible in the face of unexpected difficulties, able to find creative solutions to problems
  • Strong computer skills, including working knowledge of all Microsoft Office products.  Experience with Google, Trello, and Airtable applications preferred
  • Excellent writing, communication, and interpersonal skills
  • Ability to communicate with diplomacy, discretion, and tact with staff at all levels and with colleagues in the museum community
  • Fully vaccinated against COVID-19 with a Centers for Disease Control (CDC) or World Health Organization (WHO) authorized vaccine (or approved for an exemption as a reasonable accommodation due to a qualified disability or sincerely held religious belief or other legal basis)

Salary Range for Position: $55,000-$60,000
